How to Compress a PDF to 100 KB or 200 KB for Online Applications

Job portals, university admissions and government e-services love tiny upload limits: 100 KB, 200 KB, sometimes 300 KB for a multi-page certificate. A phone scan of a single page can easily be 2–5 MB. Here is how to get under the limit while keeping your document readable.

Why are scanned PDFs so big?

A PDF made from photos stores each page as a large image. A modern phone camera captures 12–50 megapixels – far more detail than a form needs. A typical A4 page is perfectly readable at around 1200–1700 pixels wide. Everything above that is wasted bytes.

The quick method (works for most people)

  1. Open Compress PDF.
  2. Add your file and choose the target size – for example 200 KB.
  3. Press Compress. PDFroo recompresses the images inside the PDF step by step until it fits, and shows you the before and after size.
  4. Open the result and zoom to 100% to check that text is still crisp.

Because processing happens in your browser, this works even for sensitive files like national ID cards, bank statements and academic transcripts – nothing is uploaded.

What if it still won’t fit?

Some files simply contain too much: ten pages of colour photos will not fit into 100 KB at readable quality. Try these in order:

  • Remove pages you don’t need. Use Delete Pages to drop blank backs, instructions or duplicate pages.
  • Split the document. If the portal allows multiple uploads, use Split PDF and compress each part.
  • Rescan smarter. Scan or photograph at a lower resolution and crop away the table or background around the page.
  • Convert photos first. If you’re building the PDF from photos, shrink them with Resize Image (about 1400 px wide, JPG quality 70%) and then combine them using JPG to PDF.

Recommended targets by document type

DocumentPagesRealistic target
Certificate / mark sheet1100–200 KB
National ID (front + back)1–2100–200 KB
CV / résumé (text)1–3under 100 KB (often already small)
Transcript (scanned)2–4300–500 KB
Bank statement (scanned)5–101–2 MB

Text PDFs are different

If your PDF was exported from Word or Google Docs, it’s mostly text and fonts, which are already compact. The Light (lossless) preset tidies up the file structure without touching quality. If such a file is still large, it usually contains big embedded images – the Balanced preset will shrink those while keeping your text sharp and selectable.

Checklist before you upload

  • Zoom to 100% – can you read the smallest text?
  • Are stamps, signatures and photos still recognisable?
  • Is the file name descriptive (e.g. firstname-lastname-hsc-certificate.pdf)?

That’s it. With the right target and a little cleanup, almost any document can meet a portal’s size limit in under a minute.
